Carrier Covid-19 Vaccine Policy Process Guide

Carrier is instituting a vaccine policy for US salaried employees and on-site contractors. ​

Current Employees: 

  • Carrier is changing its current position of Vaccination Strongly Recommended to Vaccination Expected. In doing so, Carrier now expects all global employees who are able to do so to get a COVID vaccine as soon as possible. This is effective immediately.

New Employees: 

  • Effective September 3, 2021 all new salaried offers extended will require employees beginning employment with Carrier to be fully vaccinated prior to their start date with Carrier as a condition of hire.​

There are a series of actions that need to be taken to help ensure compliance to the new policy. Carrier is working to automate as much as they can, however, there are going to be short term asks and long term changes to our process. 

Current Employees: 

  • No action required by the Wilson Team for US Salaried Employees​

  • Pending process for ON-SITE US Contractors​

New Employees: 

  • Offer letter changes​

  • Application/Screening process​

  • Job Description Updates

NOTES: 

This is a manual add for now and has been added to our offer letter instruction guide. (Template updates are in the works!)​

  • We may see impacts to start dates, however, we want to minimize long delays as much as possible. ​

  • Our screening process change will help prevent delayed starts going forward.​

  • For candidates currently at offer stage or late in the process, we will work with HR on potential start dates regarding any candidates who need time to meet this requirement.

    Effective Today, the following question is REQUIRED to be asked for all candidates in consideration (EXCEPT those living in or applying to roles based in the state of Montana):

    As part of Carrier’s commitment to employee health and safety, COVID 19 vaccines are now required for all newly hired U.S Salaried employees. Where permitted by applicable law, you must have received or be willing to receive the COVID-19 vaccine no later than your date of hire.  Are you willing to comply with this requirement?  

    Candidate Replies: 

    Yes – document and proceed! Encourage the candidate to start the process soon if they anticipate any delays in start date in order to comply with the vaccine requirement​

    No – Inform them this is a requirement of employment and, unfortunately, we are not able to proceed with their application any further. ​

    Accommodations/Exception Request – Carrier does allow for certain exceptions and approval is required before continuing with the process. The candidate will need to apply in Workday before they can enter the exception process. Notify your Wilson Partner so we can confirm application and provide the candidate with the details for exceptions requests. ​

Does this apply to candidates in Canada?

  • No, Not at this time. 

Does this apply to interns or Early Careers? 

  • Yes. Leadership Programs and Interns must comply with the new hire policy. 

Does this apply to internal applicants?

  • No. We do not have to ask the vaccine question nor do we add the verbiage. They will fall under the existing employee protocol (outside Wilson scope)

Are there any other places this would not apply?

  • For now, the only state with an applicable ban is Montana. Do not ask for candidates living in or for jobs based in this state. We will update you on any changes as the information comes available

Does the Candidate need to have their vaccine to interview onsite?

No. The vaccine is only required prior to start date. However, they will be subject to facility mask requirements 

Will this ever be a part of the application process in Workday?

  • Yes, Carrier is working to add this to the MAQ questions for us to validate at time of application. However, we will still include in our screen just as we ask about work authorization or non-competes

 If the candidate applies for an accommodation, how will I know it’s been approved. 

  • Process for accommodations is being finalized. Details forthcoming

Will this be added to the offer letter template in Workday?

  • Yes. New template is in flight 

Do I need to contact any candidates pending start? 

  • No, only written offers executed in Workday as of 9/3 require verbiage/confirmation

Am I responsible for answering questions or debating the validity or legality of the ask?

  • No. Ask the candidate to apply so they can direct all questions to GPS

Should I collect proof of vaccination status?

  • No. This will be handled by GPS as a part of the background process. We need only to confirm/document their willingness to comply.

Can we add a reminder to our interview request form?

  • Yes! We will be adding the following required question to the interview request form: “Have you confirmed the candidate is willing to comply with Carrier’s vaccine policy for new hires?”  Interviews will not be scheduled by our TAC team without a Yes reply
